Seeing a client at the same time each week or fortnight helps build routine and makes attendance more predictable. You can now book a whole run of sessions at once instead of booking them one by one.
How to book a run of sessions
Go to Calendar and click an empty time slot.
Add your client in the usual way.
Tick Repeat.
Choose Weekly or Fortnightly.
Choose the Number of sessions, from 2 to 8.
Check the list of dates under the settings. Connect will book every date shown there. Each session has the same start time, end time and time zone as the first one.
Click Save.
In the Confirm session booking window, add an optional note to your client if you'd like. The note is included in the confirmation email for every session.
Click Book sessions.
You can also book a run when you respond to a client's booking request.
Note: You can't use Repeat when you edit a session that already exists. It's only there when you create a new booking.
Checking your booking results
Connect books each date in turn, starting with the earliest. Please keep the window open while it does this.
When it has finished, a summary shows how many sessions were booked, for example "3 of 4 sessions booked":
Booked lists the date and time of each session that was booked.
Not booked lists any dates that couldn't be booked and the reason for each.
If at least one session was booked, clicking Done closes the window and refreshes your calendar. You can then book any missing dates one at a time from the calendar.
If no sessions were booked, your settings stay in place so you can change them and try again.
Note: You can't use Repeat when you edit a session that already exists. It's only there when you create a new booking.
FAQS
Why a session might not be booked
Why a session might not be booked
Message | What it means | What to do |
"Your client has reached their company's session limit" | Your client has no sessions left in their current contract period. Sessions you've already booked in the same run count towards this. | Book fewer sessions, or check your client's remaining allowance. |
"You cannot book a new session for this client because their session allowance has expired." | Your client's booking deadline has passed. | Contact the Unmind team if you think this is wrong. |
"This session overlaps with one of your existing sessions. Try a different time." | You already have something in your Connect calendar at that time. | Book that date individually at a different time. |
"Ask your team manager to add you to the client's care team via the Clients page" | You aren't in this client's care team. | Ask your practice manager to assign the client to you |
"Your client's organisation no longer has access to Unmind" | Your client's organisation no longer has access to Unmind. | Contact the Unmind team. |
"We couldn't book this session. Please try to re-book this session individually." | Something else stopped the booking, for example the client's contract has ended or hasn't started yet. | Try booking the date on its own. If it still fails, contact the Unmind team. |
"Something went wrong" | Nothing was booked, possibly because of a connection problem. | Check your connection and try again. |
Tip: Connect doesn't check your Google Calendar when you book. Make sure you're free at every date in the run before you confirm.
What you and your client receive
What you and your client receive
Each session in a run is its own booking, so each one sends its own emails:
Your client gets a confirmation email for every session, with the session link and an add-to-calendar link. A run of 8 sessions means 8 confirmation emails.
Your client gets reminders 72 hours and 30 hours before each session.
You get an "Invitations sent" email for every session.
It's worth telling your client to expect several emails when you book a run.
Managing sessions after booking
Managing sessions after booking
Once booked, the sessions in a run aren't linked to each other. Each one works like any single session:
You or your client can reschedule or cancel any session on its own, under the usual rules.
To end a run early, cancel each remaining session one at a time. There's no option to cancel all of them at once.
Booked sessions block those times in your Instant Book availability, so other clients can't book them.
How sessions count towards your client's allowance
How sessions count towards your client's allowance
Every session counts against your client's allowance as soon as it's booked, not when it takes place. Some clients have a limit of 8 sessions or fewer, so a full run could use up their whole allowance.
If a session is cancelled in good time, it goes back to their allowance.
A late cancellation or a no-show uses up the session.
Before you book a long run, think about how many sessions your client is likely to need.
